The meeting was called to order by Mr. Michael Briscoe, President at 6:00 p.m. with the following individuals:

Mr. Briscoe opened the meeting with his welcome and thanked everyone for attending.
Mrs. Woodland briefly reviewed the minutes of the previous meeting and it was agreed to approve the minutes. Minutes were posted on the website.
Mr. Lee presented the Treasurer’s Report for the period ending of January 3, 2012. The current balance is $5,161.0.
Mr. Lee reported to have the sideline chairs delivered between January 20 – 23, 2012. The locking caddy is expected to be delivered shortly thereafter.
Mr. Lee reported on the success of the Modell’s Fundraiser. Purchases were $1,869.99 which represented a profit of $93.50. It was agreed to repeat this fundraiser for the Spring sports season. The suggested period for this fundraiser is February 15 – March 15.
There was a lengthy discussion regarding the SMAC Wrestling Tournament concessions for February 17 and 18, 2012. The Food Concession Committee presented an Excel spreadsheet with companies contacted for various donations. A final report on donations will be completed by the next meeting. Also discussed were the set up times (3:00 p.m.) for Friday, February 17 and volunteer sales shifts were established from 3-7 p.m. and from 7:00 p.m. to finish. Three volunteer sales shifts are scheduled for Saturday, February 18, 2012: Shift 1 – 7:45 a.m. – 11:30 a.m., Shift 2 – 11:30 a.m. – 3:30 p.m. and Shift 3 – 3:30 p.m. – 7:30 p.m. The Food Concession Committee will develop shift schedules for volunteers. It was suggested to provide volunteers with identification such as lanyards. Mr. Lee is investigating providing lanyards; if unavailable Mrs. Woodland has volunteered to provide. Mr. Lee reported that the T-Shirt vendor is offering the booster’s 25% profit on the T-Shirt orders. All details will be finalized at the next scheduled meeting.
Mr. Lee reported the date of the upcoming Mulch Sale as March 17 – 18, 2012. Discussion began regarding sending out approval letters to SMECO and Festival Way sites. Mrs. Gillens requested signs to be produced that read “Thomas Stone Mulch Sale” for various pick up sites. A pre Mulch Sale meeting is scheduled for March 15, at 6:30 p.m. for sorting orders, finalizing details and etc. Public signs will be posted the second week in February at various locations. Mrs. Bellet and Rolfs agreed to contact Best Buy for volunteer help.
Mr. Lee reminded everyone of the Spring Sports Pre-Season meeting for February 9, 2012.
In anticipation of the highly attended basketball game between TSHS and Nortpoint on February 10, 2012, it was suggested by Mrs. Woodland to set up a separate concession area to sell chips, candy, etc. This reduces long waiting lines at the regular concession sales area. It was also recommended to staff with adults. Volunteers are needed to assist.
There was a short discussion regarding the SMAC Track Meet for May 10 & May 12, 2012. It was agreed to defer further concession sales discussion until we have learned lessons from hosting the Wresting Tournament.

Mr. Briscoe opened the meeting with his welcome and thanked everyone for attending.
Mrs. Woodland briefly reviewed the minutes of the previous meeting and it was agreed to approve the minutes with one minor correction. Minutes were posted on the website.
Mr. Lee mentioned the next Boosters meeting will be on January 2, 2012, which is a federal holiday and the group unanimously decided to reschedule the meeting for Monday, January 9, 2012.
Mr. Lee presented the Treasurer’s Report for the period ending of December 5, 2011. The current balance is $3,610.10 which represents all invoices paid to date.
Mr. Lee reported to have the sideline chairs delivered by Christmas. To recap, Mr. Lee ordered 40 sideline chairs and a locking caddy.
Mr. Lee also reported that all Winter Sports games will begin on Wednesday, December 7, 2011.
Mrs. Javins reported on the success of the Fall Craft Fair which was held on November 12.
Mr. Lee reported that the dates for the Mulch Sale are Saturday, March 17 and Sunday, March 18. Mr. Lee does not having pricing and is waiting to confirm with Dennison. Mr. Lee has suggested the following operations personnel: Mrs. Patty Terres to manage the SMECO location in Hughesville; Mrs. Trish Palmer to manage the phone line, and Mrs. Teresa Demmine to draft the Mulch Sale Flyer and update the CD and then provide to Mrs. Vicki Bellet.
Mr. Lee expressed a goal for 2012 is the purchase of new scoreboards for the following sports: Football, Field Hockey, Soccer and Baseball.
Mr. Briscoe opened the discussion regarding the reduced admission fees for athletes. Mr. Lee reported that Mr. Martin has disapproved the initiative to reduced admission fees for athletes and there was no further discussion.
Mr. Lee confirmed the SMAC Wrestling Tournament is scheduled for February 17 and 18, 2012. As of now, volunteers include: Mrs. Sharp, Ms. Bellet, Mrs. Gillens, Mrs. Briscoe, Mrs. Rolfs , Mrs. Javins and Mr. and Mrs. Woodland . On February 17, start time will be approx. 4 pm until 11 pm and on February 18, starting time is around 7:30 am until 11pm.
Mr. Lee confirmed the SMAC Track meet as May 10 & May 12, 2012.
Mrs. Javins discussed several fundraising ideas.

Mr. Briscoe read and presented Mrs. Vicki Bellet with a “thank you” letter for the generous contribution of a Weber grill to the school by her and her husband.
Introductions were made to our new member, Susan Sharp.
Mr. Lee presented the Treasurer’s Report for the period ending of November 3, 2011. The current balance is just under $5,000 which represents all invoices paid to date.
Mr. Lee reported that he was able to negotiate the cost sideline chairs to $105.00 per chair and has ordered 40 chairs. Delivery of chairs will be between 8 and 12 weeks.
Mr. Lee also ordered a locking caddy for the chairs at approximately $500.00. Total cost was $4200.
Mrs. Javins reviewed the minutes of the previous meeting and it was agreed to approve the minutes as is without any correction.
Mrs. Javins discussed the Modell’s Team Week fundraiser. Coupons are good for period of November 18 thru December 15, 2011 including Black Friday. An amount of 500 coupons were obtained. We can secure more as needed. Coupons will be distributed by Mr. Lee to coaches at the November 8 Winter Sport Meeting. Coupons will be obtained to give to Vendors and customers at Saturdays Craft & Vendors Sale.
Mrs. Javins discussed the details of the upcoming Fall Craft Fair scheduled for Saturday, November 12 to be held in the school cafeteria starting at 9:00 a.m. and concluding at 2:00 p.m. An email was posted over a week ago announcing a shortage of volunteers to work the event. This resulted in one respondent, Mrs. Gillens .Mrs. Javins explained to meeting attendee’s that help is still needed in food preparation, concession sales, gift wrapping, and assistance for vendors and customers. Coach Eubanks volunteered to prepare grilled items and Mrs. Briscoe will aid in concessions. Mrs. Bellet will try to bring family members (kids) to help with vendor’s request of chairs and to do some of the running around. There will be a wrapping table available and seeking volunteers to help wrap gifts for a small donation to the Boosters. We’re also looking for donations of wrapping paper.
Mr. Briscoe is to send out an e-mail request for help at this event.
Mr. Lee reported that the Cheerleaders were going to the Regionals on Wednesday, November 9. Mr. Lee also reported that both the Boys and Girls Cross Country Teams qualified for State. The Winter Sports Meeting is scheduled for Tuesday, November 8th starting at 6:30pm. Ms. Sharp and Mr. and Mrs. Briscoe volunteered to sell clothing at this event. Winter Sports practice starts on November 15th.
Mr. Lee reported that the Mission Statement was added to the front page of the www.thomasstonesports.net webpage.
Mrs. Gillens reported that Homecoming concessions ran very efficient and without backlog due to having a full adult staff instead of students.
Mr. Lee reported that the potential dates for the Mulch Sale are Saturday, March 16 and Sunday, March 17. Mrs. Rolfs will be getting back to Best Buy who has offered to give us employees to help out with the mulch sale and $2000.00. Mrs. Gillens pointed out that for the Mulch Sale, it was not desired to lose the SMECO location in Hughesville. She could run that location and have someone else run the Festival Way location.
Mrs. Gillens inquired if anyone had any fundraising ideas.
Mrs. Bellet reported that when she inquired to Waldorf Ford Dealership on Saturday about being a sponsor, they told her that the school just declined on an offer for Ford to house select vehicles at the school for the public to test drive. Mr. Lee added that it was declined by the county due to liability of the school should someone have an accident on school property.
Mrs. Gillens inquired about obtaining volunteers for the SMAC Wrestling Tournament scheduled for February 17 and 18. As of now, volunteers include but definitely not limited to: Mrs. Sharp, Ms. Bellet, Mrs. Gillens, Mrs. Briscoe, Mrs. Rolfs and Mrs. Javins. and SMAC Track Meet. On February 17, start time will be approx. 4pm until 10 or 11pm and on February 18, starting time is around 7:30am until 10 or 11pm. Mrs. Rolfs,
Mrs. Gillens and Mrs. Javins will discuss combo meal menu and arrangements for the event and will be discussed at the next meeting on December 5.
Mr. Briscoe opened suggestion of reduced fee’s for student athletes into sporting events..There was a great deal of discussion about pros and cons of this. Mr. Briscoe and Coach Lambert voiced pro’s of this possibly increasing school spirit due to higher volume of attendance by schoolmates. Mrs. Gillens voiced concerns of feedback from many buyers of season passes. Mr. Lee contended that this will not necessarily increase revenue, but could result in lose of revenue. Also many cons to control rightful admittance to qualified/unqualified students, and could result in need to employ more staff (cost effectiveness). Mr. Briscoe named a committee to include himself, Coach Lambert, Mrs. Woodland, and Mr. Lee to weigh the pros and cons. Mr. Lee added that he and Coach Lambert would just meet to discuss this issue, but ultimately, the decision can only be made by Mr. L Martin, Principal of TSHS.

Mr. Lee also reported on the conditions of the grounds and how this affected the Field Hockey games. Mr. Lee reported on the sales from the Family Passes as 48 being sold.
Mrs. Javins opened the floor to discuss the Modell’s Team Week fundraiser. It was moved to approve the Modell’s fundraiser for the week of November 15 – 24, 2011. It was recommended to obtain 350 coupons to be distributed to all Winter Sports participants.
There was an in-depth discussion regarding the final details for the Homecoming football game and dance.
Mrs. Javins reviewed the details of the upcoming Fall Craft Fair scheduled for November 12 to be held in the school cafeteria starting at 9:00 a.m. and concluding at 2:00 p.m.
Mrs. Javins discussed several fundraiser ideas.
The members opened a lively discussion regarding the football team and Mr. Lee replied to all questions and issues.
Mr. Lee made a presentation on the goals/project for the 2011-2012 SY for the purchase of sideline chairs to replace missing ones. The cost of sideline chairs are between $120-$130 each chair and the school needs 36-40 chairs. The cost would approximately be $5,000. These types of chairs have not been purchased in more than 12 years. There will be further discussions on this purchase in future meetings.
Due to time constraints and with the meeting running longer than normal and we were unable to discuss the SMAC Wrestling Tournament and SMAC Track Meet.

There were opening remarks from Mr. Briscoe and a brief update was provided regarding the Mulch Sale, March 19-20, 2011:
Overall sale profits down slightly from last year.
Remaining 16-18 pallets left would be sold at profit.
Collections notices for bounced checks (appx 40) sent last week.
Ms. Washington recommended selling remaining bags at reduced price of $3.00/bag, buy 5 bags get 2 free, and tying final ‘drive’ to the Mother’s Day vendor event scheduled for this weekend, May 7. Group agreed and Ms. Javins will send an updated announcement to the vendors.
Mr. Lee will get with Mr. Martin to blast an e-mail out regarding the reduced mulch sale prices.
Mr. Lee reported on the cost of a scorer table as $2,500 - $15,000. Group recommendation was for the mounting option. Mr. Lee to continue efforts for estimates and will report progress at the next meeting.
The group reviewed the minutes of the previous meeting. Minor spelling corrections noted and the March minutes were approved.
Mr. Lee presented the Treasurer’s Report. As of March 3, 2011, the balance is $20,137.47 (see attached report).
Mr. Lee reported conference games admission fee to be $5.00. Final approval is at the superintendants office.
Mr. Lee reported that next year’s wrestling SMAC tournament will be hosted by Stone.
Mrs. Javins reported on the activities of the upcoming Vendor Sale. Mrs. Javins indicated that all tables have been sold and that just a couple of vendors on the waiting/cancellation list.
Mrs. Bellet reported that the Bake Sale table is planning to be set up for sales and donations.
New business discussion opened. Mrs. Washington raised the topic of improving booster sponsorship. After lengthy discussion and several ideas were raised such as forming sub-committees for special interest (i.e., concessions, fund raising, etc.) Mr. Lee agreed to provide the sign-up form used previously so that the group can brainstorm ways to get the message out about booster sponsorship.
Other miscellaneous items mentioned were physicals for fall sports on August 22, 2011. Cost will be raised to $30.00. Mrs. Bellet will be looking into having the Hubcaps perform in the auditorium where there are approximately 600 seats. Possible date to be determined.

The minutes of the March 2011 meeting were approved electronically and forwarded to Mr. Lee for posting on the website.
Mr. Lee presented the Treasurer’s Report. As of April 11, 2011, the balance is $19,342.48 (see attached report). Mr. Lee indicated that money is still coming in for the Mulch Sale.
Mr. Lee reported briefly on the spring sports and discussed the admission charge for conference games will be $5.00. This increase is waiting for Board approval.
Mr. Lee reported on the success of the Mulch Sale and informed us there are 1,200 mulch bags remaining to be sold, which will be full profit. McDonoughHigh School received 150-200 bags on loan and Thomas Stone should receive payment in a timely manner.
The group led a lengthy discussion on how to improve the Mulch Sale for next year. Some of the recommendations are listed below:

Split up athletic team volunteers at sites and stagger hours.

Solicit Lowe’s to donate trucks in January.
·
Solicit Toyota of Waldorf to donate trucks.
·
Find Site Managers for the Hughesville Satellite location.
·
Provide drivers with printed directions.
·
Provide a Mulch Sale Sign for the Festival Way site.
·
Give incentives to those owners of trucks to offset the amount of gas
·

Mrs. Javins and Mrs. Bellet reported on the activities of the upcoming Vendor Craft Fair. The Vendor Craft Fair is Saturday, May 7, 2011, 10:00 a.m. – 2:00 p.m. at Thomas Stone. There are 39-40 Vendors signed up to participate. It was also reported that the Blue Crabs will not allow our advertisement on their marquee. However, they will be providing their mascot, Pinch to direct people from the street to the sale. Volunteers are needed starting for set up on Friday night, May 6 at 6:30 p.m. and for all day on Saturday. Mrs. Washington and her family agreed to work concession sales. Mrs. Bellet and her family agreed to work the Baked Goods table. All baked goods donations will be accepted on Friday evening. Signage will be provided by Mrs. Bellet. There was a lengthy discussion regarding the final details of the event.
Mrs. Washington was reminded to provide the group with the final Sponsorship Letter.
Mr. Lee reported on the results of finding a Scorer’s Table. Certain types of tables were discussed in depth. There were no decisions that arose out of this discussion. However, Mr. Lee will research other types of tables and report back to the group in May.
Mrs. Washington opened the floor and commented about the condition of the softball dug outs (girls). Mr. Briscoe will inspect the dug outs and report back to the group in May.
There were several discussions regarding fundraising for next season, but no decisions were made at that time. Further discussions will be held at a later date.
It was agreed to schedule the next Boosters Meeting on Tuesday, May 3, 2011, at 6:00 p.m.

The meeting was called to order by Mr. Michael Briscoe, President at 6:05 p.m. with the following individuals:

There were opening remarks from Mr. Briscoe and a brief update was provided regarding the Mulch Sale, March 19-20, 2011:
Signs are up at the following locations except for Gallant Green and Route 5: Bryantown Road Shell, Pinefield, Poplar Hill, Smallwood and TSHS.
Forklifts are still needed (2).
Denison Landscaping has provided two forklifts free of charge for one week.
Sandy
has placed the ad in the Maryland Independent.
Site was approved at Festival Way.
All coaches present made their introductions.
Mr. Lee reported on the cost of a scorer table as $2,500 - $2,800. It was discussed that Dotronics has an exclusive contract with the county and if we plan to purchase this equipment, we need to obtain Board approval. It was also discussed the need to purchase a new scoreboard.
The group reviewed the minutes of the previous meeting. After several corrections, it was moved to approve the February minutes.
Mr. Lee presented the Treasurer’s Report. As of March 3, 2011, the balance is $17,886.67 (see attached report).
Mr. Lee reported on the spring sports and there was a discussion to charge admission for Baseball and Softball; Lacrosse is already charging admission. Conference games admission fee will be $5.00.
Mrs. Bellet reported on the activities of the upcoming Vendor Sale. Mrs. Bellet indicated there are five tables left to be sold. There was a discussion regarding a Bake Sale table and accepting donations. The donations for the Bake Sale table will be finalized in the coming weeks.
Mrs. Washington opened the floor to questions and comments from the group regarding the Sponsorship Letter. After a lengthy discussion, the Sponsorship Letter was approved.
Mr. Lee reported on the success of the Hall of Fame Banquet. The event was well attended and there were only two inductees not in attendance.
Mr. Lee reported other details regarding the Mulch Sale. Mr. Lee emphasized the need for large trucks and plenty of people to work to make this event successful. We have over 200 deliveries scheduled and it was recommended that coaches schedule as many athletes to volunteer. The cheerleaders will be doing the cooking again this year. Mr. Lee indicated that he would be available starting at 7:00 a.m. on March 19.
